We set up the connection, agree the journals, and build the chart of accounts so that useful reporting falls out of the normal month rather than requiring a spreadsheet exercise.

Systems We Work With

On the accounting side, Xero and QuickBooks, with Dext, Hubdoc or AutoEntry for document capture, and Sage or FreeAgent where a practice already runs them.

On the clinical side, the practice management systems used across UK veterinary practice including ezyVet, Provet Cloud, RoboVet, Merlin, RxWorks and VetIT. Where a supported integration exists, we use it. Where it does not, we build a reliable summary journal from the system reports.

Frequently Asked Questions

Do we need to change practice management system?
Almost never for accounting reasons. Changing clinical systems is disruptive and expensive, and the reporting problem is usually solvable on the system you already have.
How long does a set-up take?
For a single site practice, typically two to four weeks including a parallel month. Multi-site groups take longer, mostly because agreeing the branch structure needs input from the people running each site.
Will this disrupt the practice while it is being set up?
Very little. The clinical system is untouched. We run a parallel month so the new reporting is proven against the old before you rely on it, and the reception and clinical teams see almost no change.
Who trains our team?
We do, for whoever handles day to day entry, and we leave written process notes behind. The notes matter more than the training session, because they are what survives somebody leaving.
Our practice management system will not export what you need. Then what?
We build around it. A scheduled summary journal from the reports it can produce gets you reliable reporting without keying anything twice, and without the cost and disruption of changing clinical system.
Can you report by department as well as by site?
Yes, using tracking categories. Referrals, hydrotherapy, dentistry or a nurse clinic can each be reported on their own, which is what makes an investment decision about any of them something other than a guess.
